Description

A pest control inspection report is the record of what you found on site, what you treated it with, and what the client has to do next, and it’s the document that protects you if an infestation recurs. The BPCA Code of Best Practice requires members to leave the customer a treatment report after every visit, whatever the visit type, and for food premises the client will need it for their own EHO audit trail. A duplicate book means the customer keeps a copy and you keep the matching record.

Our personalised pest control report books are printed in full colour on A4 NCR paper, 50 sets per book, with your logo and contact details on every set. The form covers client and site details, type and date of visit with time in and out, tick-box pest activity for ants, cockroaches, flies, textile pests, stored product insects, wasps, birds, mice and rats, activity level, inspection findings, proofing, hygiene, action taken and treatment details, products and amounts used with an MSDS reference, recommendations, follow-up date, and technician and client signature lines.

Free design service

We offer a free design service based on our templates (logo design not included), or we can print your own ready-to-print artwork at no extra cost. How to prevent copy bleed-through

A white 400gsm board is included with each pad to place between sets, preventing anything copying onto the next set.

Pest control report FAQs

What should a pest control report include?

Client and site details, the date and type of visit, what pest activity was found and at what level, your inspection findings, the treatment carried out, any products used with quantities and a reference to the material safety data sheet, proofing and hygiene observations, recommendations for the client, whether a follow-up is due, and signatures from both the technician and the client.

Do I have to leave a written report after every visit?

If you’re a BPCA member, yes — the Code of Best Practice requires a treatment report regardless of the visit type. Even outside membership it’s the sensible position: a signed report is your evidence of what was found, what was applied and what advice was given, and clients on food safety schemes will be asked to produce it.

Why record the products and amounts used?

Because you’re legally responsible for what you apply, and the record is what demonstrates you used an approved product at an approved rate. The form includes a prompt to refer to the material safety data sheet, so the client has the route to that information rather than a bare product name.

Should the client sign the report?

Yes. A client signature confirms they’ve read and understood the findings, the treatment and the recommendations. That matters most when the recommendations involve work on their side, proofing, waste management, cleaning — because if the problem returns, the signed report shows the advice was given.

How long should I keep copies of treatment reports?

There’s no single statutory period for pest control records, but two years is the usual working minimum, and food industry clients often ask for three. Keeping the duplicate copy bound in the book, in date order, means the site history is in one place if a client or auditor asks for it.
